1. Scope and Roles

MeetMaker provides an online platform used by parents, guardians, athletes, clubs, gyms, booster clubs, event directors, and other organizations to manage participation in sporting events. Depending on the context, MeetMaker may act as a service provider, processor, controller, business, contractor, or similar role under applicable privacy laws.

In many cases, organizations such as gyms, clubs, or booster clubs submit participant information to MeetMaker on behalf of athletes and their families in order to register athletes for events. Event directors and other event organizers may also receive and use participant information as part of administering an event.

2. Information We Collect

We collect information you provide directly to us, information provided by authorized organizations or event personnel, information generated through event transactions, and certain technical information generated through your use of our website.

  • Login credentials and account identifiers
  • Organization numbers, sanction-linked identifiers, and similar account data

B. Participant, Athlete, and Roster Information

  • Athlete and participant names
  • Date of birth, age, age group, or birth year
  • Gender
  • Club, gym, team, coach, or organization affiliation
  • Competitive level, division, session, event, and roster status
  • Eligibility, waiver, emergency, or similar registration information submitted for event administration

C. Event, Order, and Transaction Information

  • Event registrations and updates
  • Ticket, merchandise, and add-on selections
  • Transaction records, invoice details, payment status, refunds, credits, chargebacks, and related operational records
  • Check-in, attendance, credentialing, scoring, or results-related data when used in connection with an event

D. Payment Information

Payment card, bank-account, and similar payment information is processed by our payment processors and service providers as needed to complete transactions. We do not store full payment card numbers in plaintext on publicly accessible systems. We may store limited payment-related details, tokens, payment status, transaction identifiers, billing-related information, and records needed for accounting, reconciliation, support, dispute handling, or legal compliance.

We do not use children's personal information for behavioral advertising, targeted advertising, data brokerage, or training unrelated artificial intelligence models.

4. Children and Minor Participants

MeetMaker is used in connection with youth sporting events, and we may process personal information relating to minors, including children under 13. In many cases, that information is provided by a parent, guardian, gym, club, booster club, coach, or other authorized organization to register the child for an event or manage the child's participation.

If you submit information about a minor to MeetMaker, you represent that you are authorized to do so and that you have obtained any permissions, notices, or consents required by applicable law and your organization's policies. Organizations that register participants through MeetMaker are responsible for obtaining any required parent or guardian authorizations.

MeetMaker uses children's and minors' information only as reasonably necessary to provide registration and event-administration services, process related transactions, maintain records, respond to support needs, and comply with law. We do not knowingly permit children under 13 to create public-facing social profiles on MeetMaker, and we do not knowingly use children's personal information for marketing directed to those children.

5. How We Share Information

We may share information in the following categories and circumstances:

A. Event Directors, Event Organizers, and Authorized Organizations

We share registration, participant, roster, ticketing, and related event information with event directors, event organizers, clubs, gyms, booster clubs, governing bodies, sanctioning bodies, and other authorized organizations as necessary to administer events, verify eligibility, communicate event-related information, process transactions, manage rosters, perform check-in, generate reports, and operate the services requested through MeetMaker.

B. Third-Party Service Providers and Processors

We may share information with service providers that perform services for us or on our behalf, such as payment processing, hosting, infrastructure, email delivery, fraud prevention, customer support, analytics, data storage, check-in, credentialing, and similar operational services.

C. Third-Party Scoring, Event Management, and API Integrations

We may provide registration data, roster data, participant data, and other event-operational data to third-party scoring systems, event-management systems, sanctioned reporting systems, or other approved integrators through APIs, webhooks, batch files, downloads, or similar methods where reasonably necessary to administer sporting events and related operations. These recipients are contractually restricted to using the data only for approved event-related purposes and not for unrelated marketing, sale, profiling, or other unauthorized uses.

D. Legal Compliance and Protection

We may disclose information where we believe in good faith that disclosure is necessary to comply with law, regulation, subpoena, court order, legal process, or lawful governmental request, or to protect the rights, property, safety, systems, users, or operations of MeetMaker or others.

E. Business Transactions
